Job Description

An established and fast-growing organisation is seeking a highly polished, proactive and detail-oriented Executive Assistant to support senior leadership and the Founder, CEO from its Dallas office. This is a highly visible role within a fast-paced corporate environment, ideal for someone who thrives under pressure, enjoys working collaboratively and can manage multiple priorities with professionalism and discretion.

The successful candidate will provide high-level executive and administrative support, ensuring the smooth day-to-day operation of the executive office. This position requires exceptional organisational skills and the ability to remain flexible and responsive in a dynamic environment.

Key Responsibilities:

  • Manage complex calendars, scheduling, and meeting coordination for the Founder, CEO
  • Coordinate domestic and international travel arrangements, including detailed itineraries and last-minute changes
  • Provide comprehensive administrative and operational support to executives
  • Support office operations and day-to-day administrative functions
  • Liaise confidently with internal stakeholders, external partners, and senior leadership teams
  • Handle confidential information with a high level of discretion
  • Assist with insurance-related administration and coordination
  • Prepare reports, presentations and correspondence as needed
  • Collaborate closely with another Executive Assistant and report directly to the Chief of Staff of the Founder
  • Support ad hoc projects and operational initiatives
  • Maintain clear communication across departments and leadership teams
  • Provide occasional personal assistance when required
  • Remain responsive and adaptable to urgent business needs outside standard office hours when necessary
  • Be willing to travel if and when needed

Systems & Technical Requirements

  • Advanced proficiency in Microsoft Office Suite
  • Strong Outlook and calendar management skills
  • Strong working knowledge of Excel
  • Highly computer savvy with the ability to quickly learn new systems and tools
  • Comfortable managing schedules, reporting and communication digitally

Candidate Profile

  • Approximately 2–5 years of Executive Assistant experience preferred
  • Professional, polished and highly organised
  • Strong verbal and written communication skills
  • Proactive, solutions-oriented and resourceful mindset
  • Able to work effectively in a fully office-based environment
  • Comfortable operating within a collaborative team structure
  • Flexible, adaptable and capable of managing shifting priorities
  • Open to occasional travel as required
  • Prior experience working with UHNW/high profile clients is preferred

Schedule

  • Typical hours will be Monday–Friday, 8:30am–5:30pm
  • Fully office-based in Dallas area
  • Flexibility required outside traditional business hours when necessary

Compensation & Benefits

  • Base salary: $95,000–$110,000 DOE
  • Annual bonus opportunity
